Class 11 Accountancy Chapter: Trial Balance and Rectification of Errors


1. Trial Balance (рддрд▓рдкрдЯ)

Meaning & Definition

  • Trial Balance: It is a statement showing the debit and credit balances extracted from the ledger accounts on a particular date. It is prepared to check the arithmetical accuracy of the books of accounts.
  • Key Purpose: To ensure that total debits equal total credits, which proves that the double-entry system has been duly followed (though it is not conclusive proof of the complete absence of errors).

Methods of Preparing Trial Balance

  1. Total Method (рдХреБрд▓ рдпреЛрдЧ рд╡рд┐рдзрд┐): Total of debits and totals of credits of each ledger account are entered.
  2. Balance Method (рд╢реЗрд╖ рд╡рд┐рдзрд┐): Net balance (Debit or Credit) of each ledger account is entered. (This is the most widely used method).
  3. Total-cum-Balance Method (рдХреБрд▓ рдпреЛрдЧ рдПрд╡рдВ рд╢реЗрд╖ рд╡рд┐рдзрд┐): Combination of both the above methods.

Rules of Posting to Trial Balance

  • Debit Balances (рдирд╛рдо рд╢реЗрд╖): Assets, Expenses, Losses, Drawings, Opening Stock, Purchases, Sales Return.
  • Credit Balances (рдЬрдорд╛ рд╢реЗрд╖): Liabilities, Incomes, Gains, Capital, Revenues, Purchases Return, Provisions.

2. Agreement of Trial Balance & Errors

Even though a Trial Balance is prepared, sometimes the total of the debit column does not match the total of the credit column. The difference is temporarily put into a Suspense Account.

Types of Errors (рдЕрд╢реБрджреНрдзрд┐рдпреЛрдВ рдХреЗ рдкреНрд░рдХрд╛рд░)

A. Errors not disclosed by Trial Balance (рддрд▓рдкрдЯ рдХреЛ рдкреНрд░рднрд╛рд╡рд┐рдд рди рдХрд░рдиреЗ рд╡рд╛рд▓реА рдЕрд╢реБрджреНрдзрд┐рдпрд╛рдБ)

These errors do not affect the equality of debit and credit totals.

  1. Error of Principle (рд╕рд┐рджреНрдзрд╛рдиреНрдд рдХреА рдЕрд╢реБрджреНрдзрд┐рдпрд╛рдБ): Violation of fundamental accounting principles (e.g., treating capital expenditure as revenue expenditure like repairing a building debited to Repairs Account instead of Building Account).
  2. Error of Omission (рдкреВрд░реНрдг рдЫреВрдЯ рдХреА рдЕрд╢реБрджреНрдзрд┐рдпрд╛рдБ): Complete omission of a transaction from the books of original entry.
  3. Error of Commission (рд▓реЗрдЦреЗ рдХреА рдЕрд╢реБрджреНрдзрд┐рдпрд╛рдБ): Wrong recording, wrong posting, or wrong balancing (e.g., entering a transaction in the wrong book or completely wrong amount entered in both accounts).
  4. Compensating Errors (рдХреНрд╖рддрд┐рдкреВрд░рдХ рдЕрд╢реБрджреНрдзрд┐рдпрд╛рдБ): Errors that cancel out each other's effects (e.g., an excess debit in Account A is offset by an excess credit in Account B).
  5. Errors of Posting to Wrong Account (рдЧрд▓рдд рдЦрд╛рддреЗ рдореЗрдВ рдЦрд╕рд░рд╛): Correct amount posted to the correct side, but wrong account.

B. Errors disclosed by Trial Balance (рддрд▓рдкрдЯ рдХреЛ рдкреНрд░рднрд╛рд╡рд┐рдд рдХрд░рдиреЗ рд╡рд╛рд▓реА рдЕрд╢реБрджреНрдзрд┐рдпрд╛рдБ)

These errors cause a disagreement in the Trial Balance totals.

  1. Wrong totaling or balancing of a ledger account.
  2. Wrong totaling of a Subsidiary Book (like Cash Book, Purchases Book).
  3. Posting only one aspect of a double-entry (Single-sided error).
  4. Posting an amount to the wrong side of an account (e.g., debit instead of credit).
  5. Difference in carrying forward balances from one page to another.

3. Rectification of Errors (рдЕрд╢реБрджреНрдзрд┐рдпреЛрдВ рдХрд╛ рд╕рдВрд╢реЛрдзрди)

Case A: Rectification before preparing Trial Balance (Single-sided & Two-sided errors)

  • Single-sided errors: Corrected by giving an explanatory note or passing a journal entry directly through the affected account.
  • Two-sided errors: Rectified by passing a proper Journal Entry.
    • Rule: Reverse the wrong entry and record the correct entry, or combine them into a single rectification entry:
    • $\text{Rectification Entry} = \text{Correct Entry} - \text{Wrong Entry (reversed)}$

Case B: Rectification after preparing Trial Balance (Using Suspense Account)

When the Trial Balance does not agree, the difference is placed in the Suspense Account.

  • For Single-sided errors: The affected account is rectified by debiting or crediting the Suspense Account.
    • Example: Sales Day Book was overcast by тВ╣500.
      • Effect: Sales Account has excess credit.
      • Rectification Entry: Suspense A/c Dr. тВ╣500 To Sales A/c тВ╣500.
  • For Two-sided errors: Suspense Account is not required because these errors do not affect the Trial Balance agreement. Rectify them normally using standard journal entries.

Tip for MP Board Exams: Always write complete Journal entries with рдирд░реЗрд╢рди (Narration) when asked for rectification of errors. For Trial Balance numericals, carefully categorize items into Assets/Expenses (Debit) and Liabilities/Incomes (Credit).
